Chelonian Expo 2012 - Regulations

Chelonian Expo is both a didactic and a commercial exhibition on turtles with the aim of letting people know and appreciate their biology, as well as their problems connected to their safeguard and protection in nature. To this end, experts on animal behaviours and biology, as well as tutors and mentors, which are brilliant concerning problems on the protection of animals and the rational management of the legal trade, will cooperate and be part of the exhibition. Chelonian Expo was born from the interest and passion of breeders focusing their attention to the problems concerning turtles; after having grouped into an association called TartaEtruria, these people have settled the basis for such an ambitious project aiming to become one of the reference points within this field, not only in Italy, but rather even around Europe.

Chelonian Expo will take place in Arezzo, by a place which represents a key point for the connections between the Northern and Southern part of the Italian peninsula: it can be easily reached both by highway and by train. Furthermore, the near airports of Pisa and Florence complete the framework of the possible connections to this place, even if it concerns long distances. Arezzo finds its origins in the Etruscan period and clearly keeps, within its territory, the tracks of their ancient presence. With its rich history, Arezzo neighbours on Florence, Siena and the Umbria region: excellent territories, known and appreciated all over the world. Chelonian Expo will be hosted by the Centre for Affairs and Conferences (Centro Affari e Convegni) of Arezzo, inside a modern under development structure which has been hosting many different events, both national and international, since many years.

 

 Hereunder, the exhibition regulations adopted by Chelonian Expo

  1. The exhibition will take place on May 5th and 6th (Saturday and Sunday) 2012 with the following opening time: both Saturday and Sunday, opening at 9.30 until 19.00. The ticket office will open at 9.00 am. Furthermore, it will be possible to book the tickets directly from the website according to what has been specified. Henceforward, the entry prices: full ticket 8,00€, free entry for children up to 1 year old; for children between 1 and 11 years old, half ticket, i.e. 4,00€; the same price -4,00€- will be applied for people being more than 65 years old. Free entry for invalids and their helper (one helper per invalid). Online only, and for a limited period of time, it will be possible to find some promotions for groups and families; furthermore, on exhibitions, it will be possible to find promotion coupons to be applied to the full ticket, through which it will be possible to benefit of a discount on the full price. 

 

Booking: spaces and organisations:

  1. Tables are 2,20 m long and 0,80 cm wide (220x0,80 cm); up to 5 tables, the price is 30,00€ each; each additional table will cost 25,00€ (ex. 6 tables = 175,00€, 7 tables= 200,00€, etc.).

  2. Each exhibitor will have the right to receive some free entry according to the number of tables or stands booked: from 1 to 5 tables you’ll receive 2 free passes; then, 1 free pass/3 tables added to the first 5 ones (ex. 8 tables = 3 free passes, 11 tables = 4 passes, etc.). if you need some free passes, it will be possible to buy them when registering your booking at the price of 5,00€ each; these free passes will be valid for the whole duration of the exhibition.

  3. The organisation will provide small distribution fuse-boards with industrial plugs and sockets in compliance with EEC regulations. It is necessary to have suitable adaptors and extensions: if you need electrical supply, please contact the administration office within 10 days before the beginning of the event.

  4. It is possible to buy some stands according procedures, dimensions and costs to be agreed with the administration office.

  5. The booking of tables could be done by following the ways shown on the website. Once done the booking, it will be necessary to pay the whole amount within 10 days from the date, the administration sent its confirmation in order not to let expire the choice option, without pretending anything else. Otherwise, it will be necessary to repeat again the operation without any guarantee to have the same places chosen previously. Due to some technical requirements, the organisation reserves the right to modify the position and disposition of the tables at its own discretion.

  6. The entry to the credited expositors only will be allowed even the day before the beginning of the event in order to facilitate the organisation of tables and stands, from 15.00 to 19.00; on Saturday, the entry for credited exhibitors is allowed from 8.00, while on Sunday from 9.00.

  7. Both you arrive on Friday afternoon or on Saturday morning, in order to prepare the preparation of the tables and stands, it will be necessary to have previously credited by the administration office and have provided the acceptance form of the regulations, as well as taken the relative free passes. It will not be possible to entry into the exhibition spaces without free pass or regular ticket.

  8. It will be possible to take your position within the opening time foreseen by the exhibition, apart from special cases, the administration reserves to evaluate at its discretion. Otherwise, the lack of credit within the terms according to the abovementioned regulations will automatically lead to the removal from the exhibition and the loss of the amount previously paid. To this end, expositors are recommended to keep always in contact with the administration office of the exhibition.

  9. Expositors shall stay by the exhibition at least until 18.00 of Sunday, 6th May 2012; otherwise, it will be applied a penalty of 25,00€ apart from differently agreed.

  10. Stands are tables should be meant as nominal; hence, it is not possible to give them to third parties, otherwise as penalty it will be applied the cancellation from the exhibition and the loss of the amount previously paid. However, the organisation will reserve – in the future – to accept or not other bookings from who is considered to be in compliance with this regulations.

 

Regulations concerning the entry and management of animals

  1. During the exhibition, it will be allowed the sale of turtles, as well as all accessories and foods connected to these reptiles, plants and accessories, books and magazines concerning these animals. In a special limited section, it will be allowed even the exposition and sale of other reptiles. In any case, it will not be possible the sale of such other reptiles outside from the abovementioned limited section; people who want to sale turtles and other reptiles, should have a person addressed to aim each relative section.

  2. The specimens for sale should be equipped with regular Cites documentation confirming their legal origin.

  3. Animals included in the Attachment A of Cites, as foreseen by the competent authorities, will be recognisable through marking with microchip or photo according to the relative body measures.

  4. The animals will be places into suitable cases without causing crowding which could stress the animals. Such cases will not allow people to touch the animals inside.

  5. Dogs will be allowed inside the pavilions of the exhibition after having received an authorization issued by the Organization. Before entering into the pavilions of the exhibition, dogs should be seen by Mrs. Sandra Cardoso, Mr. Massimiliano Bensi and a vet appointed; it will be given a free pass to show upon request. It is mandatory to have dogs on a leash; they should not impede the regular flow of the public, show a good temperament and be social. The owners should have a copy of their dog’s health card to show to the vet in charge; they should dispose of their organic wastes in compliance with the law and will be responsible for any damage caused to people or things. The Organisation reserves the right, at its own discretion, to avoid the entry to subjects which are not considered suitable for the cohabitation with people or dogs.

  6. For the animals’ wellbeing, and waiting for the approval of a Regional Reg. in iter, the relationship between the animals and the cases should be at least 1:3. Example, for a 30x50 cm case: 5cm specimens = 16; 10cm specimens = 10; 15cm specimens = 4; 22cm specimens = 2; specimens more than 30 cm, it will be necessary to set cases differently. In case of bigger or smaller cases, the relationships animals/cases should be calculated as previously explained in order to leave enough space to move avoiding overcrowding. Cases should be at least 10x15 cm. expositors who wants to set cases on the ground, should notify it to the Organization when registering. As pavilions have carpets on the floor, a company charged by the organization will take it away from the places where boxes will be mounted. Such boxes should be equipped with waterproof end (such as nylon ground sheets) in order to avoid the leakage of slurries.

  7. According to such a Regulation in itinere, expositors are invited to foresee a turnover of the specimens every 6 hours. The animals could be kept under the tables into well-ventilated and dark cases in order to let them rest and reduce the stress due to the exposition.

  8. Cases should be equipped with a suitable substrate and kept in the best hygienic conditions; these cases should be regularly cleaned, as well as the water inside aquaria.

  9. Animals should be completely healthy: a vet charged by the organisation will check them. Anyone exposing animals with evident illness will be cancelled from the exhibition upon the vet’s irrevocable and unquestionable judgement, losing any right, including the amount previously paid.

  10. Each case should show the species/subspecies, as well as the origin of the animals contained there (i.e. Cites, source, origin); furthermore, it should show the breeder/seller’s information.

  11. One species only could be located in each case.

  12. For each species/subspecies, it should be shown the origin climatic area and the dimensions reached once completely grown.

  13. Animals included in the Ministerial Decrees dated 19/04/1996; 15/05/2001; 03/07/2003 and following amendments are not allowed.

  14. Specimens, belonging to the following species which have not reached 10 cm, are not allowed: Trachemys sp. Graptemys sp. Pseudemys sp. Chrysemys sp.

  15. Any violation to this regulations will lead to the immediate cancellation from the exhibition.

 

 The Organization reserves the right to call the relative competent authorities, if necessary. The Organization will enter on its website www.chelonianexpo.it what follows: the partipating expositors’ names, surnames, country and nation and, maybe, even the sector and the number of the relative positions inside the pavilions of the exhibition.
